Kinleap understands that children become unwell and unexpected things happen. Where possible, we ask families to provide as much notice as they can when cancelling or rescheduling an appointment.
This Cancellation Policy applies to services provided by Kinleap Pty Ltd ATF the Emma Wesche Trust, trading as Kinleap Paediatric Occupational Therapy (“Kinleap”).
Private, Private Health and Medicare-funded services
Where at least 48 hours’ notice is provided, no cancellation fee will apply.
Where less than 48 hours’ notice is provided, Kinleap may charge up to 100% of the scheduled appointment fee.
Where a child does not attend their scheduled appointment and no reasonable prior notice has been provided, Kinleap may charge up to 100% of the scheduled appointment fee.
Private health and Medicare rebates are generally not available for missed or cancelled appointments.
NDIS-funded services
Cancellation charges for NDIS-funded services will only be applied where permitted under the current NDIS Pricing Arrangements and Price Limits, the relevant support item and the participant’s Service Agreement.
Any applicable cancellation charge will be invoiced in accordance with those requirements.
Travel
Where a mobile appointment is cancelled after the Occupational Therapist has commenced travel, any travel already undertaken may be charged where permitted under the relevant funding arrangement and Service Agreement.
Rescheduling
Where sufficient notice is provided, Kinleap will make reasonable efforts to offer an alternative appointment where availability allows.
Rescheduling cannot be guaranteed and may depend on therapist availability.
Repeated Cancellations
Where repeated cancellations or non-attendance are affecting the consistency or effectiveness of therapy, Kinleap may contact the family to review whether the current appointment schedule and service arrangement remain appropriate.
Cancellations by Kinleap
Where Kinleap cancels an appointment, no cancellation fee will apply.
Where possible, an alternative appointment will be offered.

Kinleap is committed to handling personal information in accordance with applicable Australian privacy and health-record requirements.

Kinleap may collect personal and health information including:
names, contact details and demographic information
medical and developmental history
diagnoses and relevant health information
family and caregiver information
school, childcare and treating-professional information
assessment results
therapy goals and clinical notes

funding and billing information

We only collect information that is reasonably necessary to provide and manage Occupational Therapy services.

Personal and health information may be used to:
assess and provide Occupational Therapy services
plan and document intervention
communicate with families
coordinate care with other professionals
prepare reports, letters and other clinical documents
manage bookings, billing and funding arrangements
meet legal, professional and regulatory obligations
maintain appropriate clinical and administrative records.
Sharing Information
Kinleap will only share personal or health information with other people or organisations where appropriate consent has been provided, unless disclosure is required or permitted by law.
With consent, this may include communication with:
schools and childcare services
medical practitioners
allied health professionals
support coordinators
plan managers
funding bodies
other relevant members of the child’s support team.
Clinical Records
Kinleap maintains clinical records relating to assessment, intervention, communication and other services provided.
Records are stored and retained in accordance with applicable professional, legal and privacy requirements.
Splose and Artificial Intelligence
Kinleap uses Splose as its clinical practice-management system.
Splose includes integrated artificial intelligence features that may be used to support clinical documentation and administrative efficiency.
Because these tools operate within the clinical system, identifiable personal and health information may be processed within Splose when these features are used.
AI is used as a support tool only.
All AI-assisted documentation is reviewed by the treating Occupational Therapist, who remains responsible for the accuracy, clinical reasoning and appropriateness of the final clinical record.
Kinleap does not rely on artificial intelligence independently to make clinical decisions.
Data Security
Kinleap takes reasonable steps to protect personal and health information from:
loss
misuse
unauthorised access
modification
disclosure.
Access to clinical information is limited to people who require it for their role.
Accessing or Correcting Information
Families may request access to, or correction of, personal information held by Kinleap.
Some requests may be subject to legal or professional limitations.
Website and Online Forms
Information submitted through Kinleap’s website or online forms may be collected and used for responding to enquiries, referrals and service requests.
Families should avoid submitting unnecessary sensitive information through general website enquiry forms.

These Terms & Conditions apply to services provided by Kinleap Pty Ltd ATF the Emma Wesche Trust, trading as Kinleap Paediatric Occupational Therapy (“Kinleap”).
These Terms & Conditions form part of and support the Service Agreement, but do not replace any client-specific terms agreed in the Service Agreement.
Services
Kinleap provides paediatric Occupational Therapy services including, where clinically appropriate:
assessment
therapy
parent and caregiver consultation
clinical documentation
session planning
home programs
liaison with other professionals
reports, letters and forms
other clinically relevant Occupational Therapy supports.
The type, frequency and duration of services will be based on clinical need, availability, agreed goals and the applicable funding arrangement.
Fees and Payment
Fees are charged in accordance with the rates agreed in the client’s Service Agreement, quote or Schedule of Supports.
Invoices are payable within the timeframe stated on the invoice or Service Agreement.
GST will only be applied where legally required.
Where services are funded through Medicare, private health or another third party, families remain responsible for confirming eligibility and claiming any applicable rebate.
Additional Clinical Work
Additional work outside scheduled appointments may attract a fee where applicable.
This may include:
reports
letters
forms
liaison
case conferencing
home programs
extended communication
other clinically necessary work.
Where practicable, additional work will be discussed before it is completed.
Reports, letters and forms
Kinleap requires a minimum of 6 weeks’ notice for all reports, letters and forms.
Where less than 6 weeks’ notice is provided, Kinleap cannot guarantee completion by the requested due date.
Additional clinical documentation may be quoted and invoiced separately.

Cancellations
Cancellations and non-attendance are managed in accordance with Kinleap’s current Cancellation Policy and the client’s Service Agreement.
Where funding-specific rules apply, including NDIS requirements, those rules will also apply.
Privacy
Personal and health information is collected, stored, used and disclosed in accordance with Kinleap’s Privacy Policy and applicable privacy requirements.
Clinical decision-making and safety
Kinleap Occupational Therapists exercise professional and clinical judgement in relation to the delivery of therapy.
Activities may be modified, redirected or discontinued where the treating Occupational Therapist considers this necessary for safety, clinical appropriateness or the child’s participation.
Intellectual property
Unless otherwise agreed, materials developed by Kinleap, including written resources, programs, educational material, graphics and other content, remain the intellectual property of Kinleap.
Families may use materials provided to them for their own personal or therapeutic purposes but may not reproduce, distribute or commercially use Kinleap materials without permission.
Circumstances outside Kinleap’s control
Kinleap will not be responsible for delays, cancellations or interruptions caused by circumstances reasonably outside its control.
Where possible, Kinleap will communicate changes and make reasonable efforts to reschedule affected services.
Feedback and complaints
Kinleap welcomes feedback and encourages families to raise concerns directly so they can be addressed promptly.

Changes to these Terms
Kinleap may update these Terms & Conditions from time to time to reflect changes in services, legislation, funding requirements or business operations.
The current version will be published on the Kinleap website.
Severability and waiver
If any part of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions will continue to apply.
A failure by Kinleap to enforce a term on one occasion does not prevent that term from being enforced in the future.
Governing law
These Terms & Conditions are governed by the laws of Queensland, Australia.
